About the role

The Oper­a­tions and Projects Coor­di­na­tor (OPC) is respon­si­ble for the deliv­ery of effec­tive and pro­fes­sion­al busi­ness and oper­a­tional sup­port to the legal prac­tice groups at Swaab and ensures the ser­vice pro­vid­ed by the Oper­a­tions Team meet the qual­i­ty stan­dards and expec­ta­tions of stake­hold­ers with­in the Firm.

The OPC is respon­si­ble for ISO 9001 qual­i­ty man­age­ment, includ­ing refin­ing sys­tems and oper­a­tional ini­tia­tives in accor­dance with Firm strat­e­gy to pro­mote qual­i­ty out­put, con­sis­ten­cy, con­tin­u­al improve­ment and efficiency.

This will be a broad role and your respon­si­bil­i­ties will include:

  • team lead­er­ship and management
  • facil­i­ties man­age­ment includ­ing bud­get­ing and premises
  • ISO 9001 and qual­i­ty compliance 
  • risk man­age­ment
  • con­tin­u­ous improvement
  • gen­er­al oper­a­tional require­ments includ­ing coor­di­na­tion and man­age­ment of ad hoc tasks or project work as required

Skills & Experience

To be con­sid­ered for this posi­tion, proven expe­ri­ence in oper­a­tions or relat­ed fields, ide­al­ly with­in pro­fes­sion­al ser­vices envi­ron­ment would be ide­al. You will be self-moti­vat­ed, reli­able and be able to work autonomous­ly as well as col­lab­o­ra­tive­ly with the team. 

To be suc­cess­ful in the role, you will have expe­ri­ence and skills in the fol­low­ing areas:

  • lead­er­ship and team man­age­ment skills with a demon­strat­ed abil­i­ty to moti­vate and men­tor staff
  • act as a role mod­el to the team, encour­ag­ing col­lab­o­ra­tion and ensur­ing high stan­dards are maintained
  • excel­lent project man­age­ment abil­i­ties, with the abil­i­ty to dri­ve change and man­age mul­ti­ple initiatives
  • high pro­fi­cien­cy in analysing and opti­mis­ing oper­a­tional process­es and systems
  • strong inter­per­son­al and com­mu­ni­ca­tion skills with the abil­i­ty to col­lab­o­rate across depart­ments and main­tain pos­i­tive work­ing relationships
  • a prob­lem-solv­ing mind­set with the abil­i­ty to iden­ti­fy issues, rec­om­mend solu­tions and imple­ment changes efficiently
  • excep­tion­al organ­i­sa­tion­al and time man­age­ment skills
  • knowl­edge of Microsoft Office 
  • an inter­est in oper­a­tions and project coor­di­na­tion, ide­al­ly with some expo­sure through intern­ships, place­ments, or aca­d­e­m­ic projects
  • a degree or equiv­a­lent qual­i­fi­ca­tion in busi­ness, man­age­ment, or a relat­ed field
