We encourage and foster generosity of spirit. Our lawyers have the opportunity to provide those less fortunate with legal services, through our affiliation with the Public Interest Legal Clearing House (PILCH). We also have a full calendar of events that we participate in annually as part of our commitment to giving back to the community. These include our Masterchef style bake-off for Australia's Biggest Morning Tea and hair colouring, or for the braver among us, shaving, for the World's Biggest Shave. We encourage our staff to come to us with ideas for fundraising and when our staff do participate in charitable events, the firm matches their dollar donations.


We understand that all work and no play makes us all a little dull!  At Swaab we hold staff lunches once a month and allow all our staff to get together and catch up over a meal provided by the firm. We also hold weekly Friday night drinks in our resident Swaabucks and every two months a department around the firm hosts a larger themed event, one recent example was a sporting event which consisted of Wii bowling and tennis competitions, darts and our staff turning out in their favourite sporting team's kit.

We love to see our staff getting out and being active. For those amongst us that have a gym membership the firm commits $500 a year towards gym memberships. Our staff also participate in group fitness activities such as boxing which the firm also subsidises. About the role
Swaab invests in systems and process improvements to provide effective and efficient legal services to our clients. As the firm becomes more reliant on IT systems and new processes, it is crucial that we bring all our people along on the journey and provide them with the necessary training and support. Not only will this ensure that Swaab achieves maximum benefit from its investment, but, more importantly, ensure we have a happy team achieving their best.
Reporting to the IT & Operations Manager, the Corporate Trainer will be responsible for carrying out training needs assessments and designing training for all areas of the firm, including the induction program for new hires.  You will also deliver the training initiatives yourself and potentially train senior support staff in the firm to themselves become trainers in discrete areas.  This is an opportunity for someone who is passionate about training to take on the challenge of helping a firm to do more with the tools they have available.
Your main responsibilities will be to:

  • Assess and identify skills gaps and problem areas in current processes

  • Prepare training content across a range of mediums to address the skills gaps and meet the varying training needs of our staff – both legal staff and support staff

  • Deliver classroom and one-on-one based training

  • Assess our existing new hire induction program and improve as required

  • Provide ongoing ad hoc training support to staff

  • Establish and monitor metrics to track effectiveness of training and any gaps

  • Identify and recommend opportunities for process or technology improvements through continual improvement channels

  • Work in parallel with IT projects to prepare and deliver training for new and upgraded systems

  • Receive "train the trainer" training from vendors and tailor training to Swaab requirements

  • Liaise with HR to recommend and coordinate additional soft skills training as required

  • Manage content of training materials on the website, intranet and via email

Skills & experience

  • Certificate IV in training & assessment or formal adult education training

  • High level of technical skill - Word, Excel, PowerPoint, practice management products and business processes

  • Experience in courseware creation - including written, video or simulation based content

  • Excellent written and verbal communication skills

  • Desire to work in a small team and take initiative and responsibility for results

  • Legal background highly desirable

About the role
This role provides a high standard of administrative support to two Senior Associates in our Property practice group. As the largest group in the firm, they have a thriving practice which keeps them very busy and we are looking for an experienced, motivated and client focussed Legal Secretary to help support them. This is a busy role and will see you providing much valued support in the following ways:

  • End to end conveyancing and leasing file management

  • Prepare for settlement including settlement figures

  • Preparing, formatting and editing documents including deeds, leases, agreements and contracts

  • Management of various correspondence

  • Liaising with internal and external clients

  • Conducting searches

  • Diary management

  • Dictaphone typing

  • Filing, both paper and electronically

  • Opening and closing of files

  • General admin/secretarial duties

Skills & Experience
Ideally you are a strong administrator with experience in both conveyancing and leasing. The following describes your strengths and attributes:

  • Positive, proactive and motivated nature

  • Pride in service delivery with a can do attitude

  • Ability to manage multiple priorities and meet deadlines whilst being calm under pressure

  • Excellent attention to detail

  • Confidence and good judgement liaising with clients

  • Adaptability and flexibility to work in an every changing environment

  • MS office suite experience at an intermediate level

Experience in Affinity and File Site Document Management would be highly regarded but not essential.
